Add Multi-Factor Authentication (MFA) to New Phone
Important Information
*Note- If you have Lost or broken your old phone, Lost or broken your MFA token contact the Service Desk so they can reset your account, you will not be able to get into your account to complete these steps without contacting the Service Desk - 970-221-6791
This document shows how to add an already enabled and enrolled Multi-Factor Authentication account to a new phone or mobile device.
*Note - that the City of Fort Collins uses Microsoft Authenticator for their MFA
*Note – It is easiest to have to do these steps with both a computer and your phone, but in a pinch, you can do all the steps on your phone if necessary.
*Note - Already have the MS Authenticator on your new phone? Then skip to step 2 (Don’t open the app yet)
Step One - Download the App to Your New Phone
Depending on the device you’re using (see table below), download the app one of the following:
Look for Microsoft Authenticator – the app icon will look like this:
OR
Once the app is installed, STOP don't open the app yet.
If you do not have your old phone that you previously used to approve your requested authentications Stop and contact the Service Desk so they can reset your account.
Step Two – On your computer Remove the MFA Authenticator
In a browser, visit aka.ms/mfasetup and log in with your city credentials.
On your old Phone you will get a notification to approve the login.
You should be taken to the Security Info page. Find your Microsoft Authenticator and Delete it.
Step Three – On your computer Add a new MFA Authenticator
In the same Security Info area click on Add sign-in Method
Click the dropdown arrow and then choose Authenticator App
You should have downloaded the app on your new phone so Choose Next when this window comes up on your computer
Be sure to have your phone nearby,and hit next on this screen.
When you get to this screen STOP
Step Four– Register MFA to Your New Phone
ON YOUR NEW PHONEOpen the Microsoft Authenticator App
You may have to tap “Agree” or “Accept” for Microsoft to have basic access to app data
You should see the screen below on your new phone, IMPORTANT: Do NOT Sign in, instead look for a button to scan QR code within the app. See images below, you may have to tap the “+” sign to add a new work or school account first.
If you did not see the screen shown in the picture above, then...
Tap the “+”, then Tap Work or school account, finally Tap Scan QR code button.
ON YOUR COMPUTER
Hold your phone in front of the QR code shown on the screen of your computer. You may see several prompts on your phone after scanning the QR code within the Authenticator app.
After scanning the QR code, you may also see a pop-up to "approve" the authentication. Click “Approve” if not, continue to next step
Click “Next” on your computer, which should then trigger the Sign-in Approval prompt on your phone.
Note* - This screen is time-sensitive, you may have to hit "Back", then "Next" (to return to a refreshed version of this page)
You should see the “Microsoft Authenticator Lets Try it out” Window on both your computer screen and your phone at this point
ON YOUR NEW PHONE
In the Authenticator app you should see an “Approve sign-in?” prompt
Tap Approve
ON YOUR COMPUTER
You should see a checkmark after approving the prompt on your phone. Click “Next”, then finish up by Clicking “Done”. You may be prompted to log in again on your computer, make sure to log back in if so.
If you are prompted to log in again on the computer – go ahead and do so. Be ready with your phone, Authenticator app open, to approve the prompt.
Once MFA is enforced on your account the Approval prompts will look like this on your phone.
After completing the process, you should end up on this page on your computer. If the phone you just enrolled is listed, then you're done!!
